Commercial Snow Removal: What to Include in a Quote Request

A commercial snow-removal estimate is easier to compare when each contractor receives the same information. A request that only says “clear our parking lot” leaves room for different assumptions about sidewalks, loading areas, operating hours and follow-up work.

Use this checklist to prepare a practical brief for a retail plaza, office property, warehouse or mixed-use commercial site in Metro Vancouver.

Describe the surfaces and boundaries

Include the address and a marked site plan showing the areas you want assessed. Separate driving lanes, parking spaces, loading bays, pedestrian paths, stairs and entrances. Label neighbouring or public areas that are outside your requested scope.

Provide approximate dimensions where you have them, and say when a measurement is only an estimate. Recent ground-level photos help explain changes in grade, tight corners and equipment access that an aerial view may not show. Invite the contractor to confirm the site conditions before finalizing the work.

Explain how the property operates

List opening hours, shift changes and delivery windows. Identify when the parking lot is likely to be full and whether vehicles remain overnight. Explain any truck turning areas, gated access or designated visitor routes that affect the sequence of clearing.

Rather than requesting an undefined “early service,” state the operational need: for example, which entrance staff use and when the loading area becomes active. Ask the provider to confirm whether the requested timing can be accommodated in the proposed service arrangement.

Separate plowing from pedestrian work

Ask the estimate to identify vehicle-area clearing and pedestrian work separately. Confirm whether stairs, narrow paths and individual doorways are included. A truck-accessible lot and a hand-cleared entrance require different planning.

Discuss de-icing as its own part of the scope: the areas covered, how applications are recorded and what conditions lead to another visit. Flag sensitive surfaces or landscaping so suitable products and application methods can be discussed. Do not assume every material is appropriate for every surface.

Ask about snow storage and return visits

Show where snow may be placed and where it must not go. If the property has limited storage space, ask about options for moving accumulated snow and any separate equipment or disposal costs.

Clarify what happens during an extended event. Does the proposed price include additional passes, or are return visits charged separately? Ask how blocked spaces, vehicles moved after a visit and requests outside the original scope are handled. Written answers make the offers easier to compare.

Compare the scope alongside the price

Use a short comparison sheet with the same headings for each proposal: included surfaces, service trigger, requested timing, pedestrian work, treatment, return visits, snow relocation and reporting. Record exclusions as well as inclusions.

Ask each provider to explain any allowance, minimum charge or separately priced item in plain language. Confirm the service period and how changes to the property or scope will be approved. A lower headline price may simply describe less work; the comparison should show what your property is actually buying.

Give the contractor one clear contact

Name the person authorized to discuss the site and approve the proposal. Include a backup contact for operational questions. Share access arrangements directly through the agreed channel, rather than placing gate codes in documents distributed widely.
