Access is part of the scope

Overnight service can be delayed by practical details that have little to do with snowfall: a locked gate, a new parking arrangement, an unannounced delivery or a person who does not know the crew is expected. Discuss these details while setting up the service.

The useful question is not whether a provider works at night in general. It is how the agreed work can be accessed at your particular site, who can resolve a problem and what happens when entry is unavailable.

Walk the arrival route

Identify the entrance the crew should use, the intended equipment route and any areas where access depends on another person. Note height restrictions, tight turns and shared spaces for the provider to assess. Do not assume that equipment can use a pedestrian entrance or a route intended for a different vehicle.

Review where residents park, where deliveries arrive and whether a gate closes on a schedule. Share sensitive instructions through the agreed private channel, with only the people who need them.

Name an overnight decision-maker

Choose a primary contact and a backup who understand the scope and can respond to access questions. Explain which decisions they can make and which require approval during business hours. Confirm this with the provider rather than placing a name in the plan without telling them.

For mixed-use buildings, include the people responsible for retail access, residential entrances and deliveries. A single instruction should not silently override another occupant’s approved access requirements.

Agree how an exception is reported

Ask how a blocked area will be documented and what the next step should be. A useful update identifies the affected route, when the problem was observed and what decision is required. It should avoid promising that an inaccessible area has been serviced.

The Accessibility Standards Canada maintenance guidance includes planning for weather-related maintenance of accessible surfaces. Use it as background when discussing priority routes, not as a site-specific compliance assessment.

Put the access plan beside the quote

Bring a marked-up plan, operating hours and the name of the person coordinating access to your PlowWow quote request. Confirm the work, operating restrictions and communication process before relying on a winter arrangement.

Review the plan when a tenant changes, construction begins or a gate system is replaced. For the shift-to-shift communication side, see the storm handover guide.
