A contractor's visit and a property's opening routine need to fit together. Once snow clearing is complete, the site contact should know which areas were serviced, which could not be reached and how to request follow-up. A short, consistent handover helps the next person understand the condition of the property without reconstructing a chain of phone calls.

This checklist is for commercial property managers, building operators and business owners coordinating snow-removal work. Use it alongside the agreed service scope, and ask the contractor to clarify anything that differs from the plan.

Read the service update first

Start with the contractor's completion message or service record. Check the site address, visit time and areas listed. Look for notes about vehicles, locked gates, deliveries or other conditions that limited access. A completed visit does not necessarily mean every space was reachable.

Compare the update with your marked site plan. If the scope includes separate vehicle and pedestrian work, establish whether both are complete or whether a second crew is still expected. Share that distinction with the person opening the building so a partial update is not mistaken for the final handover.

Review the routes people will use

From a safe position, check the connection between the agreed parking area, pedestrian route and entrance. Note any interruption that needs attention, such as a vehicle parked across the cleared route or an entrance that was outside the original work area. Avoid sending staff into an area that appears unsafe just to obtain a photograph.

Use precise locations when reporting a concern: “north entrance beside loading bay two” is more useful than “the back.” Include a photo from a safe location where it helps. Tell the contractor whether the concern affects opening, a delivery or access to a particular part of the building.

Record blocked areas separately

A line of overnight vehicles can leave sections unavailable during a visit. Record which spaces were blocked and when you expect them to become accessible. Ask whether returning to those spaces is covered by the existing arrangement or requires approval for additional work.

The same approach applies to bins, stored materials and temporary deliveries. Arrange their movement through the responsible site contact. Do not assume the clearing crew can move items or enter an area for which it has not received access instructions.

Check the agreed snow-storage locations

Review the designated storage areas against the plan. Flag a placement that appears to interfere with a walkway, loading activity or an agreed access route. Keep the request specific and allow the contractor to assess equipment access and the proposed adjustment.

If storage space is becoming limited, discuss the next step before it affects operations. Relocation within the property and hauling snow away can be different scopes of work. Confirm what is proposed and how any additional work will be authorized.

Agree on the next update

Keep one contact responsible for collecting site observations and forwarding them to the contractor. Ask when another update is expected and what change in conditions should trigger a call. Record the answer in the same place as the service notes so the next shift can find it.

Close each issue with a simple status: reported, acknowledged, scheduled or resolved. A record of the visit and follow-up makes it easier to discuss recurring access problems at the next planning review.

Build the handover into your quote request

Before booking, ask how completion updates, blocked-area notes and follow-up requests are handled. Our commercial quote-request guide explains the information to provide. Review commercial snow-removal services, then request a PlowWow quote with your site details and operating hours. Availability and the final scope are confirmed in the proposal.
